THE ROLE:

  • General administrative support and office management:
    • Managing day-to-day office operations
    • Implementing efficient and professional policies and procedures
    • Scheduling meetings and appointments
    • Booking business trips and preparing travel expense reports
    • Preparing memos and presentations
    • Answering phone calls, faxes and emails
    • Ordering supplies
    • Maintaining office files
    • Coordination with departments of UKA Headquarter
  • Accounting support:
    • Preparing invoices
    • Verifying invoice accuracy
    • Payment monitoring
    • Preparation of monthly cash flow reports for review by the Managing Director
    • Organisation and filing of invoices
    • Coordination and participation in monthly meetings with company accountant
  • Other administrative and clerical duties as assigned by management

THE INDIVIDUAL:

  • Completed secretarial education
  • Knowledge of accounting
  • At least 5 years professional experience
  • Ability to work independently and competitive with a team spirit
  • Advanced written and verbal communications skills in English, Spanish and German, other language skills advantageous
  • Good time management
  • Reliability and discretion
  • Professional appearance
  • Very good MS Office knowledge
